Bring customers back automatically: 10 ready-to-copy examples
An automatic notification goes out on its own when something happens on a customer's card: they haven't visited for 30 days, or they are one stamp away from the reward and haven't been back for a week. You write it once and it then runs without you. The three that work best: win back customers who stopped coming, tell them only one stamp is left, thank new customers.
Why automate instead of sending by hand
A customer who stops coming doesn’t tell you. Nothing bad happened: they changed habits, walked past another shop, forgot. A reminder at the right time is often enough to bring them back, but nobody has time to check every week who hasn’t come in for a month.
That’s exactly what an automation does. You write the message once, choose the moment, and each customer gets it when it’s their turn: the day they reach 30 days away, or a week after a visit that left them one stamp from the reward.
How it works in Quardy
An automation reads like a sentence: IF something happens THEN send this message. Eight triggers are available, depending on your card type:
| Trigger | Example | Cards |
|---|---|---|
| Inactive customer | Hasn’t visited for 30 days | All |
| New customer | 1 day or 6 months after signing up | All |
| Card anniversary | Every year, on the date their card was created | All |
| Visit milestone | 2 days after their 5th visit | All |
| Number of visits | At least 10 visits | All |
| Almost at the reward | 1 stamp away from the reward, 50 points away from a reward | Stamps, points |
| Reward reached | Card full, reward reached | Stamps, points |
| Cashback balance | Balance of at least €10 | Cashback |
The last four describe the customer’s card and are always combined with an absence: IF one stamp away from the reward AND hasn’t visited for 7 days. Telling customers while they are in the shop would add nothing: they just saw their card at the till. Messages go out once a day. New customer, card anniversary and visit milestone go out on a set date, even if the customer came back in the meantime: only once, except the anniversary, which comes back every year. Ideal for a welcome, celebrating a year of loyalty or thanking a regular.
Ready-made templates are included: pick one, adjust the text if needed, and it’s live. Three rules always apply:
- only customers who agreed to your communications receive the messages;
- a customer gets at most one automatic notification every 5 days;
- the message arrives as a notification for those who have the app, and on their Apple Wallet or Google Wallet card for everyone else.

Messages are limited to 178 characters: beyond that, phones cut them off. One sentence and a reason to come back is all you need.
The right delay to win back customers
The delay depends on how often your customers normally come. Send the reminder when a regular has skipped one or two visits, not before:
| A regular comes | Example | Reminder after |
|---|---|---|
| Several times a week | Café, bakery | 14 to 21 days |
| Once a week | Restaurant, wine shop, vape shop | 21 to 30 days |
| Every 3 to 4 weeks | Barber, nail salon | 35 to 45 days |
| Every 6 to 8 weeks | Hair salon, beauty salon | 60 to 75 days |
Best practices
- Start with the three essentials. Win back customers who stopped coming, tell them only one stamp is left (or that their balance can be used), thank new customers. These bring the most people back.
- Give a reason to come back. “We miss you” works; “We miss you, the strawberries are in” works better.
- Only promise what you really offer. If the message announces a free coffee, tell your team: the customer will ask for it.
- Check the numbers after a month. The app shows how many customers came back within the week after each message. A message that brings nobody back gets rewritten.
- Keep campaigns for special occasions. A weekend promotion or a holiday closure is sent by hand, as a campaign; automations take care of the rest.
Each business type has its recommended setup, with message ideas: see the guides by industry.
Frequently asked questions
Will my customers get too many messages?
No. With Quardy, a customer gets at most one automatic notification every 5 days, however many automations are on. And only customers who agreed to your communications when adding their card receive them.
Do my customers need to install an app?
No. Those who have the Quardy app get a regular notification; the others get the message directly on their Apple Wallet or Google Wallet card, which shows up on their phone's lock screen.
How many automations can I create?
With the Pro plan at €9.99/month, 3 automations can be active at the same time: enough for the three essentials (customers away, almost at the reward, welcome). With the Business plan at €24.99/month, there is no limit.
How do I know if an automation works?
For each automation, the app shows how many customers it reached and how many came back to the shop within 7 days of the message. If a reminder brings nobody back, change the text or the delay.
What's the difference with a campaign?
A campaign goes out once, when you send it, to announce something specific: a new product, a promotion, a closure. An automation goes out on its own, customer by customer, at the right time for each one. The two work together.
